2. Scope of this policy
This policy applies to personal information handled through the Gaia’s Secret Agents website, email communications, purchases and the GSA Pin Publisher.
The GSA Pin Publisher is a private internal tool used only by Gaia’s Secret Agents to create and schedule original Pins on boards owned by our Pinterest business account. It is not offered to the public and does not publish on behalf of other Pinterest users.
3. Information we may collect
Depending on how you interact with us, we may collect:
- your name, email address and information you choose to provide when contacting us or joining an email list;
- order and transaction details needed to provide a product, while complete payment-card details are handled by the relevant payment provider;
- basic technical information made available by website or service providers, such as IP address, browser type, device type, pages visited and approximate location; and
- messages, support requests, preferences and consent records.
We do not intentionally collect sensitive information unless it is reasonably necessary and provided with appropriate consent.
4. Pinterest API information
The GSA Pin Publisher accesses only Gaia’s Secret Agents’ own Pinterest account. It may read our board names and identifiers and send original Pin content such as images, titles, descriptions and destination links to Pinterest.
The tool does not access other Pinners’ private data, collect Pinterest passwords, scrape Pinterest, sell Pinterest data or allow general users to connect their accounts.
Authentication credentials and tokens are treated as confidential, used only to operate the private publisher and stored separately from publicly accessible website files. When the connection is no longer required, credentials and related Pinterest information will be deleted or de-identified where reasonably practicable and subject to legal requirements.
Pinterest handles information under its own Privacy Policy.
5. How we use information
We may use personal information to:
- provide requested products, downloads, information and support;
- send newsletters or marketing messages when consent has been given;
- process and maintain transaction records;
- operate, protect and improve the website and our services;
- operate the private GSA Pin Publisher; and
- meet legal, accounting, security and fraud-prevention obligations.
You may unsubscribe from marketing emails at any time using the unsubscribe link in the message or by contacting us.
6. Children’s privacy
Gaia’s Secret Agents creates products for children, but our website, purchases, accounts, email subscriptions and communications are intended to be managed by a parent, guardian or other adult. We do not knowingly ask children under 13 to provide personal information directly to us.
If you believe a child has provided personal information without appropriate adult permission, contact us so we can review and delete it where required.
7. When information may be shared
We do not sell personal information. We may disclose limited information to service providers that help us operate, including website hosting, domain and email providers, email-marketing services, payment processors, digital-product platforms and Pinterest when publishing Pins.
We may also disclose information when required by law, to protect our legal rights or safety, or as part of a business transfer. Service providers receive only the information reasonably required to perform their services and are subject to their own privacy and security obligations.
8. Overseas processing
Some service providers may store or process information outside Australia, including in the United States and other countries where their systems, contractors or data centres operate. Privacy protections in those countries may differ from Australian law. We take reasonable steps appropriate to the circumstances when selecting and using service providers.
9. Cookies and third-party links
Our website or its service providers may use essential cookies or similar technologies needed for security, performance and functionality. If analytics or optional marketing technologies are introduced, this policy will be updated and any consent required by law will be requested.
Links to third-party websites are governed by those organisations’ own privacy policies.
10. Storage, security and retention
We take reasonable technical and organisational steps to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure. No internet transmission or storage system can be guaranteed completely secure.
We retain information only for as long as reasonably needed for the purposes described in this policy, to maintain necessary business records, resolve disputes and comply with legal obligations. Information that is no longer required will be deleted or de-identified where reasonably practicable.
11. Access, correction and deletion
You may ask what personal information we hold about you, request a correction, withdraw marketing consent or ask us to delete information where applicable. Email hello@gaiassecretagents.com. We may need to verify your identity before acting on a request.
12. Privacy complaints
If you believe your information has been mishandled, email hello@gaiassecretagents.com with enough detail for us to investigate. We will acknowledge and respond within a reasonable period.
If you are not satisfied with the response and Australian privacy law applies, you may contact the Office of the Australian Information Commissioner.
13. Changes to this policy
We may update this policy when our services, providers or legal obligations change. The current version and effective date will always be published on this page.
